Fee Management

School Fee Management Software That Works for Indian Schools

Configure fee structures per class, record payments in multiple modes, generate PDF receipts instantly, track overdue fees with aging reports, and let parents check their balance by sending a WhatsApp message. All in one place, starting free.

Everything Your School Needs for Fee Management

From fee structure setup to receipt generation to overdue tracking, every step of the fee collection process is covered.

Fee Structure Per Class

Define a separate fee structure for each class with as many components as your school needs: tuition, transport, library, sports, computer lab, examination, uniform, books, activity, development, hostel, caution deposit, and more. Set installment schedules as monthly, quarterly, half-yearly, or yearly. Each class can have a completely different structure.

Late Fee Automation

Configure late fee rules with a grace period in days, a fixed or percentage-based late fee amount, monthly accumulation for long overdue accounts, and a maximum cap so late fees never spiral beyond a reasonable amount. Late fees are calculated and applied automatically when payments are recorded after the due date.

Instant PDF Receipts

Every payment generates a professional PDF receipt automatically. The receipt includes your school logo, sequential receipt number in four format options, payment date, amount, mode of payment, and the staff member who recorded it. Download the PDF or send it directly to the parent's WhatsApp number in one click.

Fee Balance Auto-Reply via WhatsApp

When a parent messages your school WhatsApp number asking about their outstanding balance, Chatmadi detects the query and sends an automatic reply with the exact outstanding amount, last payment date, and next due date. Office staff do not need to look up records or reply manually. Available on the Growth plan and above.

Day-Book Register

The day-book view shows all fee collections for the current day, grouped by payment mode: cash, UPI, bank transfer, cheque, and online. The daily total is calculated automatically. The day-book can be printed as a formal register or exported as a CSV for your accounts team or Tally entry.

Aging Reports

The aging report shows outstanding fees grouped by how overdue they are: 0-30 days, 31-60 days, 61-90 days, and over 90 days. This gives the principal and admin staff an immediate view of which families need follow-up and which accounts have been outstanding for a dangerously long time.

Payment Reversal with Audit Trail

When a payment needs to be reversed due to a bounced cheque, wrong entry, or other reason, the reversal is logged with a reason code, the staff member who made the reversal, and a timestamp. The student's outstanding balance is recalculated automatically. The original receipt and the reversal are both visible in the payment history.

Month-over-Month Trend Chart

The fee analytics view shows total collection by month across the academic year as a bar chart. School owners and principals can see at a glance which months had low collection, identify patterns, and plan follow-up campaigns before the end of each term.

Payment Modes

Accept Fees the Way Your Parents Actually Pay

Indian schools receive fees in many different ways. Chatmadi supports all of them. Each payment is recorded with the correct mode, a reference number, and the staff member who collected it. Your day-book and aging reports reflect the exact breakdown by payment mode.

For schools that share their UPI ID or bank account details with parents, those details can be configured in the fee structure and included automatically in fee reminder messages sent via WhatsApp.

The Indian School Fee Collection Reality

Indian school fee cycles are complex. Term-wise payments, annual fees, exam fees, transport fees, book fees, uniform fees, activity fees. Each with different due dates, different reminder schedules, different late fees. A school ERP that does not model this complexity ends up creating more spreadsheets, not replacing them.

Most schools run this on Excel sheets and manual receipts. By Term 2, fee status across 500 students becomes impossible to track. Some parents paid partial amounts. Some paid for siblings combined. Some paid via UPI without sharing the transaction ID. Reconciliation becomes guesswork.

Follow-up is the bigger problem. A principal at a 300-student school spends 8 to 12 hours per week calling parents about unpaid fees. Teachers get pulled in to WhatsApp reminder duty. This is not what school staff should be doing, yet nearly every school does it.

Chatmadi's School ERP Approach to Fee Management

Chatmadi's fee management module starts from a different premise. The WhatsApp channel that parents already use for daily school communication is the same channel used for fee reminders, payment confirmations, and receipts.

When a parent pays via Razorpay, the fee record updates automatically. No reconciliation needed. The parent gets an instant WhatsApp receipt with the school's logo and authorized signatory. If the parent pays via bank transfer, they forward the transaction message on WhatsApp. Chatmadi's AI extracts the transaction ID and matches it to the fee invoice.

Automated reminders go out 7 days before due date, 2 days before, on the due date, and with escalation after. Principals see a real-time fee dashboard showing who has paid, who is overdue, and total collection for the term.
