How Schools Generate APAAR IDs for Students

Schools are responsible for generating APAAR IDs for all enrolled students. The process runs through the UDISE+ portal and requires parental consent plus Aadhaar verification for each student.

Verify student UDISE enrolment

Before an APAAR ID can be generated, the student must be enrolled on UDISE+ with accurate personal details. The school's UDISE coordinator confirms the student roster is up to date.

Collect parental consent

APAAR ID creation requires explicit parent or guardian consent. Schools send a consent form explaining what APAAR is, why it is needed, and how the student’s data will be used.

Verify Aadhaar details

Common Challenges Schools Face During APAAR ID Implementation

Recommendation:Make Aadhaar number a mandatory field on your admission form immediately. For existing students, use the parent WhatsApp groups to request Aadhaar details and track which students have provided them in your student management system.

Name mismatch between school records and Aadhaar

Student names entered at admission often differ from the name on the Aadhaar card. A student registered as "Mohammed Ali Khan" in the school system may be "Mohammad Ali Khan" on Aadhaar. These mismatches cause APAAR ID generation to fail and must be corrected before resubmission.

Recommendation:At admission, ask parents to provide the name exactly as it appears on the Aadhaar card. Cross-check existing records against Aadhaar copies before initiating bulk APAAR ID generation.

Parent consent form collection at scale

Collecting signed consent forms from every parent for every enrolled student is a significant administrative task, especially for schools with 200 or more students. Lost forms, parents who do not respond, and parents who have concerns about sharing Aadhaar data all slow the process.

Recommendation:Send consent forms home with students in a clearly labelled envelope with a return deadline. Send WhatsApp reminders to parents who have not returned forms by the deadline. Keep a tracking register showing which students have returned signed consent.

Schools that manage student data in spreadsheets or registers struggle to track which students have completed APAAR ID generation and which are still pending. Without a clear status view, the same student may be processed multiple times or genuinely pending students are missed.
